How do you export a Google Sheet to PDF?
In Google Sheets, click File > Download > PDF (.pdf), choose what to export and how the pages look, then click Export. On a phone, use Share & export in the Google Sheets app. PDF is best for snapshots you email, archive, or attach when people should not edit cells. Open your spreadsheet in Google Sheets.

Click File > Download > PDF (.pdf).

Under Export, pick Current sheet, Workbook (every tab in one PDF), or Selected cells.

Set paper size, page orientation, scale, and margins. Check the page count at the top. If columns spill onto extra pages, set Scale to Fit to width. Formatting and Headers & footers add gridlines, page numbers, and the sheet name.

Click Export in the top right. The PDF downloads to your computer.

When you click File > Download > PDF, Google Sheets opens a settings panel. Export picks what goes in, Paper size and Page orientation set the page, Scale decides how your columns fit, Margins set the white space, and Formatting plus Headers & footers control gridlines, notes, page numbers, and repeated header rows. Most bad PDFs (columns cut off, tiny text, page two with no headers) come from just two settings, Scale and Repeat frozen rows.

Almost always it's permissions. The owner or an editor can turn off downloading, printing, and copying for viewers and commenters, and then File > Download disappears or is greyed out for you. Ask an editor to switch it back on, or to send you the PDF.
