What does each PDF export setting in Google Sheets do?
When you click File > Download > PDF, Google Sheets opens a settings panel. Export picks what goes in, Paper size and Page orientation set the page, Scale decides how your columns fit, Margins set the white space, and Formatting plus Headers & footers control gridlines, notes, page numbers, and repeated header rows. Most bad PDFs (columns cut off, tiny text, page two with no headers) come from just two settings, Scale and Repeat frozen rows.
When to use it
Use this when the PDF downloads fine but looks wrong, or before you send a report that has to print on a set number of pages.
When to skip it
If you can't download at all, it's a permissions problem, not a setting. See the download troubleshooting page.
How it works

Export: Current sheet (the tab you're on), Workbook (every tab, one after another), or Selected cells (only the range you highlighted).

Paper size and Page orientation: Letter, A4, Legal, Tabloid and more. Landscape fits wide sheets, portrait fits long lists.

Scale: Normal (100%) keeps true size and may spill columns onto extra pages. Fit to width puts every column on one page width. Fit to page squeezes everything onto one page, so text can get tiny. Custom number sets an exact percentage.

Margins: Normal, Narrow, Wide, or Custom. Narrow margins give a wide table room before you have to shrink it.

Set custom page breaks: drag where each page ends, so a section never splits across two pages.

Formatting: show gridlines, include notes, and set page order and alignment.

Headers & footers: page numbers, workbook title, sheet name, date and time. Repeat frozen rows puts your header row on every page, as long as you froze it first.

Wide sales report
Landscape, Fit to width, Narrow margins. Every column fits on one page width and the rows flow onto as many pages as they need.
Long checklist that must print on one page
Portrait, Fit to page, gridlines on. Check the text is still readable in the preview, and if not, use Fit to width and accept a second page.
Multi-page table people will read on paper
Freeze row 1, turn on Repeat frozen rows and Page numbers, so every page has headers and the pages can't be shuffled.

Ignoring the page count at the top of the panel. If it says 18 pages for a list you expected on 2, change Scale.

Almost always it's permissions. The owner or an editor can turn off downloading, printing, and copying for viewers and commenters, and then File > Download disappears or is greyed out for you. Ask an editor to switch it back on, or to send you the PDF. If Download works but the file is blank, cut off, or never shows up, it's a settings or browser problem, and each one has a quick fix below.
