Why can't I download a Google Sheet as a PDF?
Almost always it's permissions. The owner or an editor can turn off downloading, printing, and copying for viewers and commenters, and then File > Download disappears or is greyed out for you. Ask an editor to switch it back on, or to send you the PDF. If Download works but the file is blank, cut off, or never shows up, it's a settings or browser problem, and each one has a quick fix below.
When to use it
Use this page when File > Download is missing or greyed out, when a shared PDF link asks you to sign in, or when the PDF you get is empty or incomplete.
When to skip it
If Download works and you only need the steps, go to the Google Sheets to PDF guide instead.
How it works
-
1
Download is greyed out or missing: you're a viewer or commenter and downloading is turned off. An editor opens Share, clicks the gear icon, and ticks "Viewers and commenters can see the option to download, print, and copy".
-
2
Work or school account: your Google Workspace admin can block downloads or sharing outside the organization. Only the admin can change that.
-
3
"You need access": you aren't on the sharing list. Click Request access, or ask the owner to share it as Anyone with the link, Viewer.
-
4
A PDF export link asks you to sign in: the sheet isn't shared publicly. Set General access to Anyone with the link, then try the link again in a private window.
-
5
The PDF is blank: Export is set to Selected cells with an empty selection, or a filter hides every row. Switch Export to Current sheet and clear filters.
-
6
Nothing downloads: check the browser's Downloads folder and its pop-up or download blocker. Very large workbooks can time out, so export one tab or a range at a time.
Examples in Google Sheets
Client can view but not download
The client is a viewer and downloads are off. Instead of making them an editor, turn the download option back on for viewers, or send a PDF export link.
Team sheet on a company account
Download is missing for everyone outside the company domain because the admin blocks external downloads. Export the PDF yourself and attach it.
Shared PDF link opens a login page
The link is right but the sheet is restricted. Change General access to Anyone with the link and the same link downloads the PDF.

Common mistakes
-
Making someone an editor just so they can download a PDF. Turning the download option back on for viewers is safer.
-
Testing a public PDF link while signed in, so it works for you and fails for everyone else. Test in a private window.
-
Assuming the sheet is broken when the browser blocked the download.
-
Exporting Selected cells after clicking a single empty cell.
Frequently asked questions
- Why is Download greyed out in Google Sheets?
- You are a viewer or commenter and the owner turned off download, print, and copy for viewers. Ask an editor to turn it back on in the Share settings.
- Can a viewer download a Google Sheet as a PDF?
- Yes, unless an editor turned off the download option for viewers and commenters, or a Workspace admin blocks it.
- Where does the PDF go after I download it?
- Into your browser's Downloads folder, named after the spreadsheet.
- Why is my downloaded PDF blank?
- Usually the export range is empty (Selected cells with nothing selected) or a filter hides every row. Export Current sheet with filters cleared.
- How do I stop people downloading my sheet?
- In Share, click the gear icon and untick the download, print, and copy option for viewers and commenters. Editors can still download.
