How to Fill In a 2027 Yearly Calendar: What to Mark First

A step-by-step order for filling in a 2027 yearly calendar: holidays, fixed deadlines, birthdays, trips, then rest, with a free one-page Google Sheet.

You've got a blank 2027 yearly calendar open, a cursor blinking in January, and no idea what goes in first. So you type one birthday, then wonder if the school break is the week before or after Easter, then close the tab.

The order you fill it in matters more than the calendar you pick. Here's the sequence I'd use, from the dates you can't move to the ones you can, so the open space you see at the end is real open space.

TL;DR

  • Fill a 2027 yearly calendar in layers: holidays, fixed deadlines, people dates, big commitments, then rest.
  • Only put in dates you can confirm now; leave guesses out until they're real.
  • The common mistake is starting with goals and then finding the holidays already took the weeks you planned.

Who this is for

  • Office manager: You need closures and deadlines in before anyone books leave.
  • Freelance designer: You want to see which months are already spoken for before you quote a big project.
  • Parent: School breaks, birthdays and the summer trip all have to fit on the same year.
  • Operations manager: Quarter ends, audits and renewals need to be visible months ahead.
  • Personal trainer: You plan client blocks around holidays and the weeks people usually go away.

Step 1: Put in holidays and closures

These are the dates nobody gets to argue with. For the US in 2027 the federal ones, as observed, are January 1, January 18, February 15, May 31, June 18, July 5, September 6, October 11, November 11, November 25 and December 24. Three of those move off the actual date: Juneteenth (Saturday June 19) is observed Friday June 18, Independence Day (Sunday July 4) on Monday July 5, and Christmas (Saturday December 25) on Friday December 24.

Only add the ones you actually get off. A retail manager and a federal employee have very different lists. Add your own: an office closure week, a religious holiday, a local festival.

In Big Year 2027 these go in the SETTINGS tab. It starts blank, with no country's holidays preloaded, and every date you add there highlights automatically on the BIG tab.

Step 2: Add fixed deadlines you don't control

Next are dates set by someone else that you have to work around:

  • School term starts and ends, from your district's published calendar
  • Contract and subscription renewals
  • Insurance, license and registration renewals
  • Conference dates already announced
  • Quarter ends if you report by quarter: March 31, June 30, September 30, December 31

Don't guess at any of these. If a school hasn't published 2027 dates yet, leave the cell empty and set a reminder to check.

Step 3: Add the people dates

Birthdays, anniversaries, the day a parent visits every year. These are fixed, but they're easy to forget until the week of. Moving dates go here too: Mother's Day is May 9, Father's Day is June 20, Easter is March 28 and Thanksgiving is November 25.

A small tip: type the person's name and nothing else. "Sam" in a day cell is enough when you're looking at the whole year. Save the gift ideas for somewhere else.

Step 4: Block the big commitments

Now the things you're choosing to do: the family trip, a product launch, a move, a course you're taking, a race. With layers one to three already in, you can see where these fit.

This is where the whole year view earns its place. In 2027 there are 105 days between Presidents Day on February 15 and Memorial Day on May 31 with no federal holiday. If your trip lands in late May, the spring is one long run. If you'd rather break it up, Easter weekend (March 26 to 29 if you get Good Friday or Easter Monday) is the obvious spot.

Block the full span of a trip or project, not just the start date. A launch is the prep weeks plus the day.

Step 5: Protect rest and leave the rest empty

Last, put in time off you mean to take even if it isn't booked. A long weekend in each quarter. A week in August. Mark it now so it shows up as taken when someone asks for those dates.

Then stop. The empty days are where the year's surprises go. If every cell is full in January, the calendar will be wrong by March.

When you're done, open Big Year's DOWNLOAD tab and make the one-page PDF so you can stick the year next to your desk. Print it on Letter or A4 for a desk, or Tabloid or A3 if it's going on a wall.

Common pitfalls

  • Starting with goals: goals need weeks, and holidays and deadlines take weeks first. Fill the fixed layers, then fit goals into what's left.
  • Using actual dates instead of observed ones: July 4, 2027 is a Sunday. Your day off is Monday July 5.
  • Writing paragraphs in day cells: one or two words per day keeps the year readable. Put detail in a separate doc or tab.
  • Adding guesses: a guessed school break that turns out wrong is worse than a blank, because you'll plan around it.
  • Filling every week: leave visible gaps so new things have somewhere to go.

FAQ

What should I put on a yearly calendar first?

Holidays and closures you actually get off. They can't move, and everything else has to fit around them.

Should I add birthdays to a yearly calendar?

Yes. Type just the name in the day cell. Seeing them across the whole year also shows you the months that are crowded with them.

Can I add my own holidays to Big Year?

Yes. Add any date in the SETTINGS tab and it highlights on the BIG tab, and on every layout in Big Year Premium if you have it.

How often should I update a yearly calendar?

Whenever a fixed date changes, and a quick look at the start of each quarter. In Google Sheets you edit the cell and print again.

Is a 2027 yearly calendar different from a planner?

A yearly calendar shows dates across the whole year. A planner usually adds daily or weekly pages for tasks. Many people use a one-page yearly calendar for the big picture and something else for the week.
