Offboard a contractor
Remove their Google account from the share list and set the file to Restricted so old bookmarked links stop working.
Revoking access means removing a person or link from the share list so they can no longer open or edit the file. In Google Sheets you use the Share dialog to remove users, downgrade editors to viewers, or turn off anyone-with-the-link sharing. Revoke is essential when contractors finish, clients churn, or a link was posted publicly by mistake.
Revoke when someone leaves the team, a project ends, or you discover a sensitive tab was shared too broadly. Pair revokes with a quick audit of linked forms, embedded charts, and copied files in other Drive folders.
Do not revoke the only owner without transferring ownership first. Also avoid mass revokes during an active deadline without warning collaborators who still need the file.
Open the spreadsheet and click Share in the top right to open the permissions panel.
Find the person or group to remove and click the dropdown next to their role, then choose Remove access.
If the risk is a leaked link, change General access from Anyone with the link to Restricted.
Review inherited access from shared Drive folders; folder permissions can re-grant access after a file revoke.
For service accounts or automation, confirm scripts still run under an account that retains editor access.
Document who was revoked and when on an internal log if compliance requires an access trail.
